Start by asking for a written day-by-day plan and a final quote before you pay anything. Ask who the guide and driver are, what is included, what is not and how changes are handled. With us, you message on WhatsApp, receive a plan and quote, and nothing is paid until you confirm.
Booking a private tour in a country you do not know can feel uncertain. You cannot inspect the car or meet the guide in advance, so the quality of the questions you ask matters.
This page lists what to ask any operator, what a clear plan looks like and how we handle bookings. Use it as a checklist, whether you end up writing to us or to someone else.
Questions to ask any operator
Ask who you will be dealing with. Is it the people who run the trip, or an intermediary? Ask whether the driver and guide are employed or hired at the last moment, and whether guides are licensed. These simple facts tell you more than any brochure.
Ask exactly what is included: the car, the guide in each city, hotel category and meals, airport pickup and drop, entry tickets. Ask what is not included, and be wary if the answer is vague. Ask whether flights, visas and tips are your responsibility. Ask for the answers in writing, so that you can refer back to them later.
Ask whether the car is private for the whole trip or shared, and whether the same driver stays throughout. Ask how long the drives are each day, and where there is room to rest. Clear answers here suggest that the plan is thought through.
Questions about money and changes
Ask when payment is taken, how, and what happens if you need to change dates. Ask whether anything is charged before the plan is confirmed, and whether the final quote in writing matches the first offer. A clear answer now is better than a surprise later.
Ask what happens if a flight is delayed, a monument is closed or you fall ill. The Taj Mahal is closed on Fridays, so ask how the operator handles this in the plan. A good operator will give you a plain answer. Ask too whether the quote covers every night of the trip, or only part of it.
Ask how you can reach someone during the trip. A WhatsApp number that is answered by a real person is worth more than a long list of assurances. Ask also whether your messages will be answered by the same person each time.
What a clear plan looks like
A clear plan is a day-by-day document. It shows where you sleep each night, what you see each day, roughly how long you drive and where there is time to rest. It names the hotel category and says what each day includes. It should also say what the day does not include, so that you can plan meals and free time.
It also tells you where the plan is tight. If a day has a long drive and two big sights, a good operator will say so and suggest an alternative. A plan that looks effortless on paper is often the one that exhausts you in practice.
A clear plan accounts for the calendar. It places Agra on a day other than Friday, allows for fog in December and January where relevant and reflects any flights you have booked. It should also be easy to compare with another operator's plan, line by line.
How we work
You write to us on WhatsApp, by email or through the enquiry form. A member of the family team replies. We ask about your dates, who is travelling, your pace and your interests, and we draft a day-by-day route. You are never asked to decide quickly, and we do not use pressure.
We send you the plan and a final quote together. You read it, tell us what to change and we adjust until it feels right. This usually takes a few exchanges, and we expect it.
No payment is taken until your plan is confirmed. After confirmation, we explain how and when payment is made, then arrange your hotels by category, your car and driver, your guides and the entry tickets. You receive a final itinerary with names and contact details. You will know the guide and driver by name before you arrive.
What to have ready before you write
You do not need a finished itinerary. A few details are enough: your travel dates or a rough window, the airports you arrive and depart from, the number of travellers and any ages, and your interests. If you are unsure about any of it, write what you know and we will fill in the rest.
It helps to mention your pace. Some guests like a full day, others want slow mornings. Tell us about anything that matters, such as mobility, diet or nervousness about traffic. The more you tell us, the closer the first draft will be.
If you are not sure how many days you need or which cities to include, say so. Helping you decide is part of the conversation, and we would rather you ask early than book something unsuitable.
Before you confirm
Read the plan twice. Check dates, the order of cities, the hotel category and the list of inclusions. Make sure you understand what is not included, and that flights, visas and insurance are in hand or planned. Take your time over this step, as it is the easiest moment to change something.
Confirm only when you feel comfortable. If something is unclear, ask. A reputable operator will not mind questions and will never pressure you to decide quickly.
When you are ready, message us on WhatsApp or use the enquiry form. We will send a plan and a final quote first, and no payment is taken until you confirm.
